I have a couple of clients looking for an Event Management software with the following requirements:
Accommodation Request:
- Need ability to set up one or more hotels for their conference where they can manage the room inventory on a per night basis. Each hotel room type will need to be set up for each hotel and can have their own daily rate.
- Ability for attendee to select a date range for their stay.
- As the rooms fill up then disables the booking ability
- Room mates or multiple attendees can share a room as a Double or Triple booking. Link 2 or 3 attendees into one hotel booking so each attendee shows up as each others room mate.
- Need custom fields for each hotel (ie Room Notes, Hotel Membership #, Late check-in, Late check-out required, etc)
- Ability to use a different payment method for the accommodations booking.
- Need a Rooming List report that shows all the hotel booking information for all attendees.
Travel Request:
- Need ability to request travel (flight, car rental, train) information in the Travel Booking page.
- Ability for attendee to select a travel date range.
- Need to collect information such as
- Travel Type (DDL: Air, Drive, Train)
- Preferred Departure date
- Preferred Departure time
- Preferred Departure Airport/Station
- Preferred Arrival date
- Preferred Arrival time
- Preferred Arrival Airport
- Preferred Airline
- Seat Preference (Aisle, Window)
- Frequent Flyer #
- ETC...
- Have you ever integrated this software with a Travel Booking GDS software like Sabre, Amadeus?
Course Booking:
- Need ability to create courses throughout the event on different days
- Course requirements
- Name
- Description
- Start / End Date
- Start / End Time
- Instructor Name
- Location
- Available seats
- Cost (multi-tier pricing based on date range and member status or Attendee type)
- Ability to set up course as a recurring event but with different date, time and venue
- ETC...
